As the Office Manager/Personal Assistant, you will be at the heart of our executive team, supporting C-suite executives and senior management. Your responsibilities will be diverse and multifaceted, including:
- Efficient Administrative Support: Managing the day-to-day administrative tasks for our executive team, such as scheduling meetings, handling correspondence, coordinating travel arrangements, and maintaining calendars to ensure optimized time management.
- Office Operations: Overseeing the smooth functioning of our executive office, including maintaining office supplies, organizing events, and liaising with building management to address any facility-related issues.
- Confidentiality and Discretion: Handling sensitive and confidential information with the utmost discretion and professionalism.
- Communication: Serving as a primary point of contact between executives, internal departments, and external partners, ensuring open lines of communication.
- Project Management: Assisting in various projects and initiatives, collaborating with different teams to achieve organizational goals.
- Data Management: Organizing and maintaining records, documents, and reports to facilitate efficient data retrieval.
Requirements:
To thrive in this role, you should possess the following qualifications:
- 2 years of experience as an Office Manager, Personal Assistant, or in a similar administrative role, ideally within the financial services industry.
- Exceptional Organizational Skills: A natural ability to prioritize tasks, manage deadlines, and handle multiple responsibilities simultaneously.
- Tech-Savvy: Proficiency in using office software (MS Office suite, email, calendar management tools) and an openness to adopting new technologies.
- Discretion and Integrity: Demonstrated ability to handle sensitive information with the utmost confidentiality and maintain a high level of professionalism.
- Outstanding Communication: Excellent written and verbal communication skills, with a keen eye for detail.
- Adaptability: A flexible and adaptable approach to work, capable of adjusting to the ever-changing demands of the banking environment.
